About the Role

The Presidio Trust is seeking a Program Management Specialist within the Trust Operations Division. Once an Army Base, the Presidio of San Francisco is now a new kind of national park. The 1,500-acre Presidio is richly layered in history, is a natural oasis for wildlife, plants, and people, and offers iconic views known around the world. In its third decade as a park, public awareness and enjoyment of this exceptional place continues grow.

The Presidio Trust is scaling its program management practice to optimize outcomes of its varied and complex portfolio of projects. We are adding team members and evolving tools and processes to help ensure, across The Trust, strategic alignment, productivity/efficiency, effective decision-making, risk reduction, change effectiveness, and improved project ROI. This is all done in service to our ‘Forever Park’ north star and strategic goals.

The PMO Specialist is a new role on the team that will primarily serve as a liaison between the PMO and cross-agency partners to facilitate collaboration and build support and engagement among stakeholders involved in PMO-related activities. This role will develop and support project/program management tools and processes, analyze and report on performance data, facilitate communications, share knowledge/information, coordinate training, collect feedback, promote and manage PMO initiatives and goals.

 

This is a full-time position with benefits and a starting pay range of $108,547 to $123,745. The starting base salary is dependent on the experience and qualifications of the candidate. Applications received by April 19, 2024 will receive first consideration.

Responsibilities

  • Manage the service relationship with internal clients/partners as primary liaison, responding within informal SLAs and/or establishing SLAs where appropriate in order to effectively prioritize and support PMO product and process client satisfaction and efficiency.
  • Develop and distribute clear, concise, and effective communications and instructions on PMO tools and processes across platforms (e.g., email, SharePoint, Teams).
  • Manage PMO tools (e.g., SharePoint, Excel, SmartSheet) by maintaining content/data, updating instructions and user interfaces, monitoring usage and effectiveness, and driving quality assurance practices and remediation.
  • Ensure successful methodologies are employed to support PMO-related reporting.
  • Collaborate with internal clients/partners to collect feedback and lessons learned and develop recommendations that align with strategic priorities and address the needs and goals of the PMO.
  • Anticipate and respond to changes with proactive decision making that aligns with our strategies and goals.
  • Analyze the effectiveness of PMO programs in meeting established goals; report monthly and quarterly metrics.
  • Evaluate, research, and recommend improvements to PMO communications, tools, technology, automation, integration, processes, etc. for increased effectiveness and efficiency.
  • Drive knowledge sharing of best practices, lessons learned, and other key information across the agency via feedback sessions, documentation, collaboration tools, etc.
  • Train staff on PMO tools and processes to ensure alignment with established practices and expectations.
  • Other duties as assigned.

Required Qualifications

  • Bachelor’s degree or equivalent.
  • A minimum of 5 years of relevant experience, including at least 3 years as a business analyst, project manager or equivalent role.
  • Skills: project management, program management / PMO, process design, Office 365 (Powerpoint, Excel, Outlook, Teams, etc.), Visio, and Smartsheet or equivalent tool.
  • Highly skilled in developing business/system requirements and designing/implementing technology forward solutions.
  • Strong organization, communication, presentation, and facilitation skills.
  • Exceptional listening and influence management skills: demonstrated ability to create credibility and trust with others and to listen and work effectively with individuals at all levels throughout the organization.
  • Demonstrated ability to navigate and manage through ambiguity.

About the Trust Operations Division and Program Management Office

The Trust Operations Division supports both internal and external customers. Its purpose is to enhance the process efficiency of the organization, provide critical support services that make working at the Trust easier, and sustain strong relationships with employees, the public, and key stakeholders.  The division includes the Administration, Information Technology (IT), Project Management Office (PMO) and the Marketing and Communications Departments.

The PMO defines and maintains standards for project management, guiding agency partners in the use and adoption of best practices that support consistency and repeatability in the execution of projects, processes, reporting, and metrics.

Background Investigation

The Presidio Trust has identified this position as subject to an employment background investigation which shall consist of a review of applicable county, state and Federal criminal and civil records, state bankruptcy indexes, driver’s license. An individual’s granting of a background investigation and resulting report is voluntary. However, employment in this sensitive position is contingent upon the successful completion of an employment background investigation. The Presidio Trust may refuse to hire an individual, may rescind an offer of employment to an individual, or may review and terminate the employment of a current employee not successfully completing the background investigation.
